Life Happens: My Compassionate Cancellation Policy

Life Happens: My Compassionate Cancellation Policy

We’ve all been there. You’ve planned ahead, booked an appointment, and then—BAM—life throws you a curveball. Maybe it’s a surprise fever, a last-minute family emergency, or one of those days where your nervous system says, “Nope.” As a therapist, I understand how human and unavoidable these moments can be.

When I was creating the policies for my practice, I wanted to hold space for the messy parts of life while also maintaining the structure that helps me show up fully for my clients. Therapy with Laney isn’t a big agency or a clinic with dozens of providers—I’m a solo clinician seeing a limited number of clients each week so I can give you my full attention and energy. That means every session spot is valuable, both for you and for the sustainability of my practice.

That’s why I’ve created a cancellation policy rooted in both compassion and clarity:

The Basics:

  • Appointments must be canceled at least 48 hours in advance to avoid a cancellation fee.

  • You get two free late cancellations per calendar year—no questions asked, no fees charged.

  • After those two freebies, the full session fee of $180 will apply to late cancellations or no-shows.

Want to Avoid a Fee? Reschedule Within the Same Week!
If something comes up and you need to cancel, but you'd still like to meet that week—reach out. If I have a spot available within the same week, we can reschedule and you won’t be charged a cancellation fee. This not only supports continuity of care, it also helps me fill the time I’ve reserved for you.

Why This Policy Exists:

  • Because life happens. And you shouldn’t be penalized for things outside your control—within reason.

  • Because I limit my caseload to 24 clients per week, much lower than the 35-40 clients some providers see. This helps me offer high-quality care, reduce burnout, and keep our work grounded and present.

  • Because holding consistent boundaries is part of creating a safe, respectful therapeutic space.

Ultimately, this policy reflects how I view our work together: as a partnership. I deeply value the effort you put into showing up for yourself, and I strive to meet that effort with structure, transparency, and care.

If you ever have questions about this or need support in navigating a cancellation, please don’t hesitate to reach out. I'm always happy to clarify or collaborate on a plan that honors both your needs and the work we’re doing together.

With warmth and respect,
Laney Holtgrefe, LCSW
